Client Portal updates

We've fixed an issue that affected how sales agents were redirected from webchat email notifications in the portal.


🛠️ What was the issue?

When a sales agent was subscribed to webchat notifications, they would receive an email alert for each new message from a website visitor. However:

  • Clicking the “View conversation” CTA in the email incorrectly opened the most recent conversation assigned to a bot, rather than the specific conversation from the visitor who triggered the notification.

This caused confusion and delayed response times.


What’s been fixed?

  • The CTA in the email notification now correctly contains and links to the conversation ID of the visitor message that triggered the alert.

  • When clicked, it redirects the user to the correct conversation in the portal, with the visitor's message automatically opened by default.

This fix ensures that your team can respond to webchat visitors quickly and accurately, improving lead handling and the overall webchat experience.

Issue: Unable to Add a Third Goal URL in Scotwork Benelux Campaign #CX

We have identified an issue affecting the Scotwork Benelux campaign related to adding Goal URLs.


🛠️ What was causing the issue?

  • The URLs being added contained extra spaces before or after the web address.

  • These spaces caused the system to return an error and prevented the new Goal URL from saving.


What’s the fix?

  • The system now automatically trims any extra spaces from URLs when you add them as Goal URLs.

  • This ensures the URL saves correctly without errors.

This update improves usability and prevents errors, helping you accurately track all relevant website goals without interruption.

Bug Fix: Duplicate Prospect Replies Displayed in Campaign Inbox #CX

We have fixed an issue affecting the Campaign Inbox where some prospect replies were appearing multiple times.


🐞 What was the problem?

  • For the campaign Zenergi, a reply from the prospect [email protected] was showing three identical entries in the Portal’s Campaign Inbox.

  • However, database logs and SodaStream’s Campaign Inbox confirmed the response was received only once.

  • This duplication caused confusion when reviewing prospect replies.


What has been fixed?

  • The Campaign Inbox now correctly displays one single record per prospect reply.

  • Duplicate entries for the same message will no longer appear.

Product/Process updates affecting clients

Fix: Auto-Forwarding Settings for Specific Response Types Now Persist as Expected #CX #Ops

We’ve fixed an issue that was affecting auto-forwarding settings in the Responder Account section of SodaStream.


🛠️ What was the issue?

Clients who had auto-forwarding configured to receive only specific response types (e.g. Positive, Referral, OOO) were experiencing a problem where:

  • The settings initially worked.

  • But they were overridden and reset overnight, requiring manual reconfiguration each morning.


What’s fixed?

  • Your configured auto-forwarding rules will now persist correctly.

  • Once set, the system will retain your selected response types—no need for daily reconfiguration.


💡 Why this matters:

If you rely on receiving only certain types of replies, this fix ensures consistent delivery to the right recipients without manual effort or risk of missing key responses.

Issue: Automatically Classified Responses Not Being Forwarded to the client's email address #CX #Ops

We’re happy to inform you that the issue where automatically classified responses were not being forwarded in SodaStream has been resolved.


🛠️ What was fixed?

  • Previously, responses automatically classified by the system were not forwarded to the designated email addresses, even though manual reclassification triggered forwarding correctly.

  • This has now been fixed — all automatically classified responses will be forwarded properly according to your forwarding settings.


What this means for you

  • If you use automatic or manual forwarding of responses through SodaStream, you can now be confident that all relevant responses, including those automatically classified, will be sent to the configured email addresses.

  • No further action is required on your part.

Internal process updates

Smarter Coordination Between M1 Send Schedules and Automatic Imports #Ops

We’ve introduced improvements to how M1 Send Schedules and Automatic Imports work together, helping you stay in control of your campaign automation and avoid generating data that won’t be used.

What’s new?

Now, when turning M1 Send Schedules ON or OFF for a specific email profile, you’ll be prompted with a confirmation modal that keeps you informed about the impact on any associated Automatic Imports.


🔄 Turning OFF an M1 Send Schedule

  • If any Automatic Imports are active for that email profile, a confirmation modal will appear.

  • The modal clearly explains the connection and allows you to confirm turning OFF both the M1 Send Schedule and the associated Automatic Imports.

  • Once confirmed, all Automatic Imports linked to that email profile will be disabled.


Turning ON an M1 Send Schedule

  • A modal appears displaying all campaign audiences with Automatic Imports available for activation.

  • Toggle switches (off by default) let you select which audiences to activate.

  • Important: Campaign audiences that have already finished importing (i.e., all prospects fetched) will not appear and cannot be reactivated.

  • This ensures you only activate what’s still relevant.


🛑 Turning ON an Automatic Import

  • If there’s no active M1 Send Schedule for the email profile, you’ll see a reminder message suggesting you activate one to ensure data is used.

  • Send Schedules are not turned on automatically—you’ll need to activate them manually after.


🔒 Improved Modal Controls

  • Clicking outside a modal won’t close it anymore, preventing accidental changes.

  • A Cancel button has been added to allow safe exits without saving changes.


Why this matters

These changes ensure:

  • You only import data that will be used in active outreach.

  • You stay fully informed before making automation changes.

  • You maintain full control of what audiences are included in your campaigns.

No changes will be made without your confirmation—everything is now clearer, more intentional, and safer to use.

Update: Microsoft Accounts Excluded from IMAP Sync #Ops

We have improved the IMAP sync process by excluding all Microsoft accounts from syncing via the console.


🛠️ What was changed?

  • All email accounts using the IMAP server outlook.office365.com (Microsoft accounts) will now be excluded from consoles sync.

  • Since IMAP sync does not work with basic authentication for these accounts, previous sync attempts were failing repeatedly.


What this means for you

  • The system will no longer attempt to sync Microsoft accounts via consoles, avoiding unnecessary errors and failed sync attempts.

  • This change improves overall sync performance and stability.

Improved Handling of Internal Replies #Ops

We’ve improved how internal (non-prospect) replies are handled to ensure cleaner and more accurate campaign reporting.

What’s new? If a Sales Agent replies to a campaign email using their original email address, that response will now be automatically categorized as invalid. This ensures it doesn’t get mixed up with genuine replies from prospects.

How does it work? Any reply received from an email address listed in User Management (e.g., a Sales Agent’s original email) will be treated as an internal message and routed to the “invalids” folder.

No action is needed on your side—this update is now live and working automatically.

New Filter: "Companies with Specific Roles" Now Available in Search #CS #Ops

You can now refine your targeting more effectively with a new filter available under the Company section in the Company and Prospect Search tabs: ✅ Companies with Specific Roles


🔍 What does this do?

This filter allows you to search for companies that have at least one employee with a specific job title.

For example:

  • You want to target companies using AWS.

  • Search for companies that have job titles like "AWS Administrator" or "Cloud Engineer".

  • Then apply additional filters (e.g. job titles like CEO, Owner, or CTO) to reach decision-makers within those companies.


📝 How to use it

  1. Go to the Company or Prospect Search tab.

  2. Under the Company section, find the new filter: Companies with Specific Roles.

  3. Enter the job titles you’re looking for.

  4. Combine with other filters to fine-tune your audience.


💡 Helpful Tip

We've added a tooltip next to the filter to guide you:

“Use this filter to find companies that have employees in specific job roles. Note: Searches with this filter may take longer, up to 1 minute.”


This new filter is ideal for campaign strategies that depend on tech stack insights, role-based targeting, or account-based marketing.

Fix: Cloning Campaign Audiences Now Properly Applies Updated Filters #Ops

We've resolved an issue that affected the “Clone” function in Campaign Audiences, where changes made to filters—such as excluding an industry—were not being correctly saved or reflected.


🛠️ What was happening?

  • When cloning a campaign audience and adjusting the search criteria (e.g. excluding an industry), the original filters were not updating as expected.

  • In some cases, certain filters (like industries) were either not removed or only partially transferred to the new search.

    • Example: Cloning a campaign with two industries (e.g. Accounting and Finance), and attempting to exclude one, would result in both still appearing or only one being carried over incorrectly.


What’s fixed?

  • Any changes you make to filters after cloning—such as excluding industries or adjusting criteria—are now correctly saved and reflected in the new audience search.

  • Cloned campaign audiences will now retain and apply all selected filters exactly as configured.

This fix ensures your campaign targeting remains accurate when reusing existing audiences, saving time and preventing errors in outreach.

Improved Exclusion Handling: Hidden Characters Automatically Removed #Ops

We've introduced a behind-the-scenes improvement to how exclusion records are handled in SodaStream and the Client Portal to enhance campaign compliance and data accuracy.


🛠️ What was the issue?

In some cases, exclusion entries (like domains or email addresses) contained invisible characters (e.g. zero-width spaces), which caused:

  • The system to misinterpret the exclusion.

  • Emails being mistakenly sent to prospects or companies that were meant to be excluded, which could lead to compliance concerns.

Example:

  • An exclusion entered as "%tulli.fi​%" (with a hidden character) did not behave as expected, and sends were still executed.


What’s been fixed?

Going forward, the system will:

  • Automatically detect and remove hidden characters from exclusion entries at the moment they are added.

  • Ensure exclusions are correctly applied and respected across:

    • SodaStream Exclusions

    • Client Portal Exclusions


💡 Why this matters

This update helps:

  • Ensure compliance standards are met.

  • Prevent campaign emails from being sent to excluded contacts.

  • Provide greater confidence and reliability when managing exclusions.

Fix: Warm-Up Schedules No Longer Deleted for Recreated Email Addresses #Ops

We've resolved an issue affecting warm-up schedules for email addresses that are deleted and then re-added.


🛠️ What was the issue?

When an email address was:

  1. Deleted from the database, and then

  2. Recreated with the same address, and

  3. A warm-up schedule was activated,

The system would still treat the email as deleted during nightly checks, causing the warm-up schedule to be automatically removed every night.


What’s been fixed?

  • The system now correctly recognizes recreated email addresses as active.

  • Warm-up schedules will no longer be deleted for these addresses unless the address or its domain is deleted again.

  • This ensures warm-up continues as expected unless manually deactivated.


💡 Why this matters

This fix improves the reliability of your warm-up process, especially when reusing or restoring previously deleted email addresses. It also reduces unnecessary setup and ensures your campaigns maintain proper deliverability.
